Development of an Enterprise GIS File Management System

Analysts within our GIS group currently produce more than 3,000 maps per year at 15 locations across the USA. During production of these maps, analysts create thousands of spatial data files and linked tables. A comprehensive file management system was developed to manage all GIS-related files created by the group. This system needed to accommodate remote access to the GIS server, be flexible enough to handle the requirements of each individual project, and be straightforward to promote adherence by the analysts. The basic structure is a project folder containing a series of subfolders based on file type. All spatial data are stored in an SDSFIE-based structure and any data provided to the group by outside sources are stored in an incoming folder to preserve the chain of custody. A unique file naming scheme for ArcMap documents and their corresponding output files is implemented in a document database accessible by all analysts.
